Key job responsibilities
- Manage and complete expense reports for General Manager (GM), senior leadership, and yourself as needed
- Maintain schedules, plan events, coordinate meetings and conferences for the Amazon Air Staff
- Own and manage conference room coordination and room calendar management
- Conduct clerical duties, including filing, full office management, responding to emails, preparing documents and presentations using graphics, graphs, and internal information and platforms
- Type meeting notes, create conference agendas and minor content curriculum creation
- Schedule cost-effective travel arrangements which can include: airfare/hotel/ground transportation for General Manager and Senior Leader(s) as needed
- Assist with internal communications for Associates and leadership among multiple platforms, interfaces, and programs
- Work with outside vendors to coordinate upkeep and maintenance
- Run work-related errands as needed
- Think and plan ahead, delegate responsibilities appropriately and manage time effectively
- Compile team goals, track and help drive completion of key deliverables and follow up on outstanding items
- Manage calendars and scheduling with diplomacy and discretion
- Coordinate closely with Workforce Management, Recruiting, Maintenance, Human Resources, and other teams
- Serve as representative on department team-building activities and peer recognition

A day in the life
The General Manager’s Administrative Assistant (GMA) will support the GM and Amazon Air Operations Team. As a GMA, you will maintain schedules, plan events, coordinate meetings, and conduct clerical duties, including filing, full office management, responding to emails, and preparing documents and presentations. This position requires excellent communication and the ability to manage changing workloads and priorities. A successful candidate will be highly organized, extremely detail-oriented, self-motivated, able to handle confidential information.

Eligibility requirements
- Individuals hired into this position will have unescorted access privileges to airport security identification display areas (SIDA). For this reason, eligibility for this role will be limited to individuals who pass a security screening, as required by the FAA, DHS, and TSA (as applicable).
- Must be able to secure appropriate airport authority and/or US Customs security badges, if applicable.
- This position requires an employee’s full and unimpaired skills and judgment to safely execute their job duties to ensure the safety and security of Amazon AIR personnel, third-party contractors, Airport personnel, cargo, and equipment. This position is therefore designated as a safety sensitive position and is subject to mandatory pre-employment and, where permitted, post-hire drug testing.

Temperature in the Air Gateway may vary between depending on outside weather conditions and will fluctuate depending on the season and daily weather conditions. You may be working outdoors your entire shift. The ability to work outdoors in a variety of weather conditions is a must.

BASIC QUALIFICATIONS

- High school or equivalent
- 1+ years of working with computers and Microsoft Office products and applications experience
- Can lift up to 49 pounds, stand/walk during shifts lasting up to 12 hours, and be able to frequently push, pull, squat, bend, and reach
- Work 40 hours/week, and overtime as required
- Work a flexible schedule/shift/work area, including weekends, nights, and/or holidays
- Are 18 years of age or older
- 2+ years administrative support experience at an executive level
- 1+ year experience with event planning or project management

PREFERRED QUALIFICATIONS

- A completed Bachelor’s Degree from an accredited university
- High levels of integrity and discretion
- Strong analytical skills and attention to detail
- Excellent written and verbal communication skills
- Ability to quickly learn the organizational structure and objectives of the team
- Passion and enthusiasm for the Amazon vision
- Team orientated philosophy
- Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines
- Ability to communicate effectively with a variety of constituent groups such as senior management, peers, and outside contacts
