Privacy Notice for Candidate Relationship Management System

  1. Introduction and Scope

In this Privacy Notice for Candidate Relationship Management System (“Notice”) we describe how AMAZON and its affiliates as outlined below (“AMAZON” or “we”) process personal data of prospects (“Prospects” or “you”) in connection with being contacted for possible job offerings at AMAZON.

If you move on to become a candidate, please consult the Amazon EU Candidate Privacy Notice, which provides information about how we process candidate data.

  1. Who are the Controllers?

For recruiting events: The legal entity that is running the recruiting event.

For recruiting purposes: the Talent Acquisition Teams of Amazon Europe Core S.à r.l. at 5 Rue Plaetis, 2338 Luxembourg determines how and why your personal data is processed.

  1. What Personal Data Do We Process

AMAZON may process a number of different personal data about you (hereinafter jointly referred to as “Your Personal Data”), such as identification data (full name, email address, location, phone number etc.), data regarding your education history (such as university name, graduation date, degree level, job interests), your employment history (historical employment history, current or most recent employer, current or most recent title), your area of expertise, whether you are interested in career opportunities at AMAZON and your communication preferences.

  1. How We Process Your Personal Data

We only process data that you

  • made publicly available (e.g. LinkedIn, Xing, Viadeo, Indeed);
  • provide us with when registering to a recruiting event; or
  • provide us with otherwise.
  1. Purposes of Processing Your Personal Data and Legal Basis

We rely on our legitimate interests to process Your Personal Data for the purpose of:

1. Managing recruiting events (in case you are registering to attend a recruiting event), including:

  1. Managing the event organization;
  2. Promoting recruiting events.

2. Managing recruitment, including:

  1. Promoting specific job openings at AMAZON;
  2. Keeping you informed about potential job opportunities or events you may be interested in; and
     
  3. Managing the recruitment process.
  1. Disclosure and Transfer of Your Personal Data 

AMAZON may share Your Personal Data: 

  • With members of the AMAZON group on a need-to-know basis for the purposes as described in section 5.
  • With  third-party recruitment support providers, for example if you are registering to a recruiting event, for the purpose of managing the event, Your Personal Data may be processed by a third-party recruitment support provider, such as One Clipboard, Inc., d/b/a Splash or other provider.

For any third party that we use, we will confirm that they provide sufficient guarantees regarding the protection of Your Personal Data. We will require that any third party complies with our data security standards and international transfer restrictions where relevant.

 

Your Personal Data will only be shared within AMAZON and its affiliated companies or external third parties where lawful to do so and for legitimate purposes. Amazon takes appropriate steps to ensure that individuals at AMAZON who receive Your Personal Data are bound by confidentiality obligations to protect Your Personal Data. When we or one of our service providers have employees or operate equipment in other countries, we will transfer Your Personal Data to countries outside the UK/EEA. For example, Your Personal Data will be shared with Amazon.com Inc for hosting purposes. For all such transfers, we provide appropriate safeguards through EU Standard Contractual Clauses based on the European Commission’s model clauses and the UK’s Addendum to the EU Standard Contractual Clauses.   1. Retention Period

Unless we start an application process with you, we will not store your data for longer than 18 months. You may request the deletion of Your Personal Data at any time as outlined in section 8 below.

If we start an application process with you, Your Personal Data will be retained in accordance with the periods described in the Amazon EU Candidate Privacy Notice.

  1. Your Rights

You have the right to request access to, correction, or deletion of Your Personal Data, to ask for data portability and the restriction of processing.

Please note that you are also entitled to object to the processing of Your Personal Data in certain instances.

When we process Your Personal Data based on your consent, you may withdraw your consent for the future at any time. You can also lodge a complaint with the responsible supervisory authority.

Our business changes constantly, and our Privacy Notice will change also. If this change is fundamental or will significantly affect you, we will provide you with the updated Notice in advance of the changes taking effect. You can also check this Notice at your convenience to see any recent changes. Unless stated otherwise, our current Notice applies to all information that we have about you. We stand behind the promises we make and will not materially change our policies and practices to make them less protective of personal information collected in the past.
